Summary/objective:

The Volunteer Engagement Coordinator role is responsible for overseeing all aspects of the organization’s individual volunteer program. This includes recruitment, screening, onboarding, and placing volunteers to ensure each individual is utilized effectively and recognized for their contributions. This position plays a key role in strengthening the organization’s mission by supporting and engaging a diverse community of volunteers through thoughtful placement, relationship-building, and alignment of volunteer efforts with program needs.

Essential Functions and Responsibilities: 

Volunteer Management

  • Recruit new volunteers through community outreach, social media, and partner organizations.
  • Ensure all volunteers complete required onboarding and screening procedures, including setting up personal accounts in VolunteerHub and ensuring background checks are submitted, in accordance with the organization’s policies and legal requirements.
  • Develop sustainable, scalable training and retention programs to ensure volunteers can maximize their experience and impact.
  • Create and maintain volunteer schedules, ensuring adequate coverage for programs and events.

  • Track and maintain accurate volunteer records, including hours served, assignments, roles, and contact information using the organization’s Customer Relationship Management programs.
  • Ensure data integrity and consistency by routinely auditing reports, resolving discrepancies, and updating records in a timely manner.
  • Generate regular volunteer reports on volunteer engagement, hours contributed, and program impact to support internal evaluations, grant reporting, and external communications.
  • Foster a culture of appreciation by organizing appreciation events, encouraging gestures of gratitude, and highlighting volunteer service and milestones.
  • Develop and implement an outreach plan to recruit volunteers for ongoing program and administrative support.
  • Create and maintain a catalogue and annual calendar of volunteer opportunities (including potential ‘Day of Service’ opportunities) based on regular check-ins with all departments, for all locations. Track all opportunities to completion or expiration date.
  • Develop and oversee processes and communications for staff from all departments to request individual or group volunteers, services, or program support needs.
  • Research and engage with potential partner organizations that can provide ongoing direct service or program support, as per needs identified by staff. Serves as a point of contact for ongoing partner organizations.
  • Coordinate onsite staff supervision and point of contact for all volunteers during activities/events where volunteers may be working.
  • Connect with volunteers on a regular basis to build long-term relationships, gather important feedback, and optimize the volunteer journey.
  • Troubleshoot any issues that arise involving volunteers. Recommend strategies to reduce or eliminate future issues.
  • Train and provide staff support on volunteer supervision and volunteer policies and procedures, all with the goal of strengthening a culture of volunteerism withing the whole organization.
  • In collaboration with the Community Engagement Coordinator, manage and monitor the volunteer program budget, including tracking expenses, forecasting needs, and submitting proper documentation for expense reports.
  • Plan, write, and produce a bi-monthly newsletter to inform, engage, and recognize volunteers, ensuring content is relevant, timely, and aligned with the organization's brand, voice, and mission.
  • Collaborate with the marketing team to ensure clear and accessible messaging about the volunteer program on the website and within marketing materials and program collateral.
  • Collaborate with the Development team to identify volunteer-to-donor pipeline opportunities.

Minimum Qualifications:

  • Bachelor’s degree (BA) from four-year college or university, in Human Services, Communications, or related field; or 8 years of related experience may be substituted for education.
  • Minimum of one year of volunteer coordination experience.
  • Minimum of two years’ experience working in a nonprofit organization.

Work Environment:

The working environment is that of a typical office setting. The employee is occasionally exposed to moving mechanical parts with regards to filing cabinets, printers, and computers, etc. The noise level in the work environment is usually quiet to moderate.

Physical Demands: While performing the responsibilities of the position, must constantly be able to remain in a stationary position 50% of the time; occasionally move about inside the office to access file cabinets, office machinery, etc. Constantly operates a computer and other office productivity machinery such as a calculator, copy machine and computer printer. Frequently communicates information and ideas so others will understand; must be able to exchange accurate information in these situations. Must have the ability to observe details at close range. The employee must occasionally lift and/or move up to 40 lbs., including moving items up several levels of stairs.

Travel Required:  No  Yes (limited, within Denver Metro Area)
