Overview

The Tukwila Police Department is seeking a Police Records Specialist to join the Support Operations Division and the Records Unit. Under the direction of the Police Records Supervisor, the Police Records Specialist performs a variety of administrative duties, including records management, information processing, data entry, record review and redaction, direct officer support, customer service and related duties in support of police operations. Shifts vary and may include day, swing, and graveyard shifts, with assignments that require working any of the different shifts when assigned.

Responsibilities
  • Process, confirm, maintain, and validate WA State Crime Information Center and National Crime Information Center (WACIC and NACIC) entries in accordance with established guidelines and regulations.
  • Coordinate the distribution of crime reports to appropriate police divisions, personnel and outside agencies.
  • Perform data entry and accuracy checks of case reports, citations, field interview/criminal trespass cards and other data entry as necessary.
  • Maintain ACCESS Level II certification every year.
  • Provide access to, monitor, and document holding facility activity when required.
  • Handle in-station and telephone inquiries; respond to officer radio requests.
  • Process information requests according to established guidelines and laws; process department mail, teletypes, facsimiles, and emails.
  • Issue firearm licenses and provide fingerprinting services; fulfill public records requests through GovQA by collecting reports, photos, audio recordings and videos; redact portions not releasable when necessary.
  • Support commissioned staff by working with officers on the street and assist with records management related to patrol duties.
  • Search local, state, federal, and international databases to locate information pertinent to investigations and cases; assist with building security monitoring and providing access to officers into the holding area.
  • Process case reports in local Records Management System and state/federal databases accurately and timely; maintain agency records in accordance with state retention guidelines.
  • Testify in court as requested; maintain CPR and First Aid certifications.
  • Support the Tukwila Police Department mission, vision, and values and maintain regular attendance during assigned hours.
Knowledge, Skills And Abilities
  • Knowledge of English grammar, spelling, punctuation; customer service techniques; proper use of office equipment (computers, fax machines, multi-line telephones, copiers, etc.).
Skills And Abilities
  • Accurately enter alpha and numeric data; type at least 40 words per minute; prepare and maintain complex reports and comply with public disclosure laws; exercise good judgment in accordance with regulations, policies and laws; interact effectively with staff, other agencies, and the public; stay calm in emergencies; follow complex verbal and written instructions; have good hearing, diction, and a clear voice.
Education, Experience and Other Requirements
  • Graduation from high school or equivalent; AND
  • One year of administrative experience (preferably in law enforcement or related area); OR
  • An equivalent combination of education and experience.
  • ACCESS level II certification required within 6 months of hire and renewed annually.
Special Qualifications
  • Must work rotating shifts (days, swing, nights), including weekends and holidays;
  • Must be a United States citizen and able to read/write English;
  • Must be at least 18 years of age.

  • Positions typically require: stooping, kneeling, crouching, reaching, mobility, fingering, grasping, talking, seeing, hearing, and repetitive motions; exerting up to 20 pounds of force occasionally, up to 10 pounds frequently, and a negligible amount of force constantly to move objects.
